Privacy Policy
We keep data collection small. Signing in with Discord gives us your Discord ID, username and profile picture — not your email or password. Applications go to our staff review channel. We don't sell your information, and we don't run ads on this site.
01Who we are and what this covers
This policy explains what personal information the Imperial Networks team (“we”, “us”) collects when you use our website (imperialfivem.com), our Discord server, our FiveM roleplay server (play.imperialfivem.com) and our Discord bot, imperialbot — and what we do with it. It sits alongside our Terms of Service.
02What we collect
When you sign in with Discord. We receive your Discord user ID, username and profile picture. We only ask Discord for its basic “identify” permission — we do not get your email address, password, friends, the list of servers you are in, or your messages. Our bot also checks which roles you hold in our own Discord server, for example to see whether you are staff or hold a role an application needs.
When you submit an application. The answers you type, your Discord ID, username and avatar, which application it was, when you sent it, your reference number (like #APP-12), and the decision and who made it.
Messages from our bot. imperialbot sends you direct messages on Discord about your applications.
Admin records. When site admins change settings, we keep a log of who changed what and when. It never contains passwords or webhook addresses.
In your browser. The website stores a few small items in your browser’s local storage (not advertising cookies):
- your Discord name, ID and avatar, and a signed login token — kept for up to 30 days, or until you sign out;
- the page you were on before signing in — cleared when you close the tab;
- a saved copy of the applications list, so the page still loads if the bot is briefly offline.
Technical data. Like any website, requests include your IP address, browser type and the pages you ask for. Our site is hosted and protected by Cloudflare, which processes this. The site also loads fonts from Google Fonts, so your browser contacts Google when a page loads.
On the FiveM server. Like every FiveM server, when you connect we receive technical identifiers — such as your FiveM/Cfx.re, Rockstar and Discord IDs, your IP address and device identifiers. We also store your character information and in-game activity, and keep logs of things like chat, commands, the economy and staff actions. Our anti-cheat also checks your game for cheating.
In our Discord. Messages, tickets and activity in our Discord are held by Discord, and staff may save moderation notes or ticket transcripts. Discord’s own privacy policy applies there.
Purchases. Payments are handled by a third-party payment provider. We receive details like the transaction ID, amount and the username the purchase is for, but never your full card number.
03How we use it
- To sign you in and check your roles.
- To review your applications and message you the result.
- To run the server: whitelisting, roles, characters, bans and support.
- To keep the community safe: stopping cheating, abuse and ban evasion.
- To answer tickets and questions.
- To keep the website secure and working.
- To meet legal obligations.
We don’t sell your personal information, and we don’t use it for advertising. We don’t run advertising trackers or analytics cookies of our own on this website.
04Who we share it with
- Our staff — only those who need it to review applications, moderate or run the server. Applications are posted in a private staff review channel in our Discord.
- Service providers that help us run things: Discord, Cloudflare, Google Fonts, our server and bot hosting providers, and our payment provider.
- Authorities, if we are legally required to, or to protect people from serious harm.
05How long we keep it
- Login information in your browser: up to 30 days, or until you sign out.
- Application records kept by the bot: removed about a year after the application has been decided.
- Copies in our Discord review channels: until staff delete them.
- Moderation and ban records: may be kept longer, so that bans can’t simply be dodged.
- Logs: for as long as we reasonably need them to keep the server and website secure.
- Payment records: as long as the law requires.
06Your choices
- Sign out of the website at any time — this removes your login information from your browser.
- Disconnect Imperial from Discord in Discord under Settings → Authorized Apps.
- Close your DMs if you don’t want messages from our bot (you will then miss application results).
- Ask us to access, correct or delete the information we hold about you — open a ticket in our Discord (discord.gg/imperialau). We’ll do what we reasonably can and what the law requires. Some records, such as bans and payments, we may need to keep.
07Children
Our Services aren’t meant for anyone under 13 (or Discord’s minimum age where you live, if higher). If we learn that someone under that age has been using them, we’ll remove their information.
08Security
We take reasonable steps to protect your information. For example, login tokens are signed, application review addresses stay on our bot instead of the website, and roles are checked by the bot rather than trusted from your browser. No system is perfectly secure, so we can’t promise absolute protection.
09Other countries
Discord, Cloudflare, Google and our other providers may process information in countries other than your own.
10Changes to this policy
We may update this policy as the Services change. We’ll change the “Last updated” date at the top and, for big changes, announce it in our Discord.
